Refund for ISSK students

Here we explain how to apply for a refund. When you apply for a refund, you are basically giving back your semester ticket. You will get the full amount for the semester ticket back. You can see exactly how much that is here: Information on the semester ticket. Among other things, this also means that you have to buy tickets if you want to use public transport in the area covered by the semester ticket (e.g. in Mainz).

This is for ISSK students who are in their first semester and would like to get a refund for the first semester ticket they received.

Students in the 1st ISSK semester

Are you in your first semester at ISSK? Then this section applies to you. You have the possibility to get a refund for the first semester ticket you get. Here we explain how you have to proceed.

Note the application periods. These are the periods during which you can submit the application. When you submit an application, the application must arrive at the ISSK within this period. IMPORTANT: It is not enough to fill in the form online within the application period. The application must be received by ISSK during this time! It is therefore also not sufficient to post the application on the last day in the application period, because the application will not arrive on time that way. It is not the postmark that counts, but when the application is received by ISSK.

The application period for the summer semester 2021 is
August 30, 2021 until September 29, 2021
The application website will be launched on August 26, 2021.
This is a so-called cut-off deadline. This means that once the deadline has passed, you will no longer be able to apply for a refund for the semester in question. This applies even if you could actually get a refund. This means that the application must be received in time and that a postponement or extension of the deadline is not possible.

Generally speaking, the application periods are as follows:

Summer semester Start Start of the lecture period of the spring semester
End 30 days after the beginning of the lecture period of the spring semester*
Winter semester Start Start of the lecture period of the autumn semester
End 30 days after the beginning of the lecture period of the autumn semester*
The application website will be activated 2 working days before the start of the application period and closed after the end of the application period.
These are so-called preclusion periods. This means that any claim for refund is forfeited if the application is not received by us in good time. This means that the application must be received by us in good time and that it is not possible to postpone or extend the deadline.
* If the day on which the deadline expires falls on a Saturday, Sunday or public holiday, the following working day shall be deemed to be the end of the deadline (in accordance with para. 5 (3) last sentence of the Semesterticket hardship regulations).

Step-by-step guide

Note the claim periods in which you can submit a claim. You can find them in the section Apply for refund. It is not enough to fill out the form online within the application period. The application must be received by ISSK during this time! It is therefore also not sufficient to post the application on the last day in the application period, because the application will not arrive on time that way. It is not the postmark that counts, but when the application is received by ISSK.

Proceed as follows:

1. Create online application
You must first create your application form online. You will find the link at the end of this step 1. Please pay attention to the following things:

  1. Select the reason for application "refund (ISSK)".
  2. Select the semester as follows:
    • Spring semester is your first ISSK semester
      Winter semester (WiSe or WS)
    • Autumn semester is your first ISSK semester
      Summer semester (SoSe or SS)
Page 2: "Personal data"
  1. Enter your own data, not the data of other people. Also make sure that all information is correct. These cannot be changed later.
  2. Please make sure that you have entered your e-mail address correctly. If necessary, we will communicate with you via your email address. If it is incorrect, we will not be able to write to you and will have to reject your application if something is missing, etc.
Page 3: "Bank details"
  1. Think about which account the money (= the contribution for the semester ticket. You can see exactly how much that is here: Information on the semester ticket) should be transferred to if we approve your application. Please enter the appropriate account information correctly.
  2. Ask the bank for the IBAN and BIC of the account to which the semester ticket fee should be transferred if we approve your application. Accounts at banks that are not in Germany also have an IBAN and a BIC.

  1. Click here on which documents you will attach to the application. "Semesterticket (Original)" must be clicked in any case (even if you only possess the digital semester ticket).If you applied for a paper ticket and gave a German address in your application (e.g. because you live in Germany, or you gave an address of friends), you should have received the semester ticket by physical mail. If not, please contact the Studierendenservice.If you applied for a paper ticket and did not provide a German address on your application (e.g. because you are still living abroad or have not updated the address), your semester ticket is with the ISSK. The ISSK will then hand over your semester ticket to us.
Page 5: "Summary"
  1. Check your information for correctness and correct your information if necessary. Please really make sure that your information is correct. Especially your name and email address should be correct. This is the last opportunity to correct any incorrect information.
  2. If your information is correct, click on "Finish". You will not be able to correct your data after this. You will then receive an email at the email address you provided with the application form in PDF format.

2. Print and sign application form

After you complete the online form, you will receive an automatic email to the email address you provided in the online form. Attached to the email is the application in PDF format.You must print the application in PDF format and sign it personally by hand!

A digital signature (on the tablet, with copied signature or similar) is not sufficient. We cannot and will not process an application with a digital signature!

3. Send signed application form to ISSK
Now you have to send the application either by mail or by fax to the ISSK. If you applied for a paper ticket, than you have to submit it with your application (if you only possess the digital semester ticket, than you do not have to submit it). Send the application to the following address (by physical mail or fax):

You must send the application to ISSK by mail or fax. Please note the application periods in which you can submit an application. You can find these in the section Apply for refund. It is not sufficient to fill in the form online within the application period. The application must be received by ISSK within this period!An e-mail (e.g. with a scan) is also not sufficient. We cannot and will not process a scanned application!

The application can also be handed in personally to Ms. Hahne during the opening hours of the ISSK (opening hours are usually on Tuesday, Wednesday and Friday mornings, but may vary). The corresponding address is:

What happens next?

You will receive a message to your student email address from ISSK when your application and any additional documents have been received. The ISSK then collects all applications from ISSK students in the first semester. At the end of the application period, the ISSK will hand over all applications (with semester ticket, if it was at the ISSK) to us, the Department of Transport at the AStA of the University of Mainz. We will then process the applications.

Allow approximately 8-12 weeks from the day we receive applications collected from ISSK. This is approximately how long it will take us to process your application. At the same time we receive many applications from other students of the University of Mainz. We therefore ask for your patience. This also means that you should not expect to be able to pay the next semester fee partially with the refund of the first semester ticket.

No. You only create the application form online. You must print out the PDF file you create, sign it by hand, and send any additional documents.

ISSK will send a confirmation of receipt to your student email address when your application and any additional documents have been received.

The JGU semester ticket is digital. It is displayed via the "JGU Ausweise" app. If you have applied for a paper ticket, the following applies:
If you gave a German address in your application (e.g. because you live in Germany, or you gave an address of friends), you should have received the semester ticket by mail. If not, please contact the Studierendenservice.

If you did not provide a German address on your application (e.g. because you are still living abroad or have not updated the address), your semester ticket is with the ISSK. The ISSK will then give us your semester ticket.

Why may I submit an application?

ISSK has different semester times than the rest of University of Mainz. This looks as follows:

The periods during which the semester ticket is valid correspond to the semester periods of the JGU. Therefore, ISSK students who are in their first ISSK semester in the fall semester, for example, will receive a semester ticket for the summer semester at the beginning. However, they are enrolled for less than three months in the "normal" summer semester and therefore have the option of having the semester ticket refunded.
